Its message should be to the point and should not bear anything to be said in a roundabout way. It should have unity and proportion and it should be well arranged in its form. The main of the business writing is that reader should understand the things in the same spirit in which the writer tends to write it. The written communication keeps a very important role in any organization. It is taken seriously by everyone in the organization and is of vital importance. The written message should be conveyed in simple language but at the same time it should be produced by mature thinking. The business writing includes letters, reports, notices, agendas, resolutions etc. the seven Cs of communication should be taken care of in the business writing and they are clear, concise, complete, candid, courteous, correct and concrete.
The certain should be taken care of while writing a business related pieces. The matter of the business writing should be fulfilling the principles of completeness, clarity, conciseness, accuracy, unity, emphasis, sequencing, readability etc. Thee written message should be consisted of unified sentences and paragraphs. Each sentence should be consisted of single idea that is clearly expressed. The chaos of idea should not be there. Not only lines but the paragraphs should also be unified. A single paragraph should be focus on the single idea. The central idea of a paragraph should be the same. The pros and cons of the same thing should not get clashed in the same paragraph. The ideas, figures and facts should be mentioned in order of the priority or the importance. The thoughts of greater value should be kept at the position where the emphasis is laid. The main idea of the message should be described with the help of graph, chart, statistics and audio visuals at the proper place in order to attract the attention of the reader. It is up to the writer to maintain the writing in such a way that reader does not get bored while reading the material. The repetition should be avoided so that the meaning of the writing does not become vaguest the completeness of the writing piece should be kept in mind. Incomplete things invite disinterest.
It is important to keep the writing complete along with the reasons, conclusions and every other thing required in order to complete it. The incomplete message generates misunderstanding and misleading from the actual message that is required to be conveyed. It should be kept in mind that inaccurate figures in the written message can mislead the reader that may result in taking of wrong decision. The attention of the reader gets distracted by the wrong spellings, poor sentence making, faulty grammar etc and hence leads to the confusion. Mostly the writer writing business material does not need to be creative or full of imagination. The main factor required for the business writing is just the quality of the techniques of the words and effective vocabulary along with the clear thinking.
